Communications Specialist
I. SUMMARY
The Communications Specialist will receive and process all requests for CALSTAR service. The Communications Specialist will routinely interact with CALSTAR Flight Nurses, Pilots, Management, Hospital Staff and other key personnel by performing the following duties.
II. ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
1. Answer emergency and non-emergency transport telephone lines and coordinate all requests for transport promptly and courteously.
2. Respond appropriately using discretion and independent judgment to a wide variety of requests to
a. Determine appropriate level of care
b. Transport mode (air/ground)
c. Type of a/c
d. Division or agency to contact to facilitate the transport
3. Operate multiple technical equipment components necessary for the performance of job duties, including but not limited to:
a. Transmitting and receiving two-way radio console
b. Weather radar system
c. CAD
d. Computer database maintenance and integrity
e. Mapping systems
f. Related equipment in support of air medical and ground transport assets
4. Communicates with:
a. CALFIRE and other first responders
b. Hospitals
c. Bases and Crew Members
d. Physician office staff
e. Outlying medical facilities
f. 911 Centers to collect and document pertinent patient transport information
5. Ensures effective communications are maintained between all aircraft and crew members
6. Maintains transfer documents and has access to patient financial records
a. Ensures all HIPPA regulations and requirements are maintained
7. Follows defined algorithm to obtain bed placement on all patients through web based data entry
8. Communicates with the transport team
a. Providing the team with all necessary information to complete the transport
b. Making adjustments if required during the transport to ensure all legs are
completed in a timely and expedient manner
c. Keeps all involved parties apprised of current status
9. Participates in quality assurance and performance improvement processes
10. Performs flight following and:
a. Obtains vehicle position reports within the prescribed timelines
b. Documents findings appropriately so as to assure FAA FAR 135 Certification
11. Initiates and coordinates Post Accident/Incident Plans (PAIP) and emergency plans as needed
III. QUALIFICATIONS
1. Education: Two year degree in related field preferred; HS Diploma required
2. 2-5 years prior experience in the health care environment
3. EMS dispatch experience preferred
4. Licensure / Certifications: Current and valid EMT certification or equivalent education
5. Must obtain Certified Flight Coordinator (CFC) through National Association of Air- medical Communication Specialists (NAACS) within one year of hire
6. Must pass CALSTAR Comm Specialist training exam at the conclusion of internal training program.
7. Knowledge of aviation terminology preferred
8. Knowledge of medical terminology required
9. Equipment and Technical Experience:
a. Working knowledge of alpha / numerical paging systems Access database
b. Web based programs
c. Advanced phone system operations
d. Radio systems and radio protocol experience required
10. Essential Technical/Motor Skills:
a. Excellent typing skills (minimum of 40/WPM net)
b. Knowledge of office machines
c. Computer and CAD expertise
11. Proficient in Word, Excel, Access, Power Point, e-mail, and the ability to use specialized software programs including sophisticated radio console operations
12. Strong Interpersonal Skills:
a. Must be able to work independently with little to no supervision
b. Also must be able to work as an integral part of a cohesive, fast paced and productive team
13. Excellent oral and written communications
14. Listening skills are a must
15. Problem solving, conflict resolution and the ability to interact effectively with multiple and diversified personnel and consumers
